Essential duties and responsibilities:
- This individual is responsible for administrative support for the functions of the Property Management Department and the Company overall.
- Set up and maintain accurate files and records that may be easily accessed by all. This would include but not be limited to the following:
- Maintain correspondence files.
- Setup and establish lease files and brokerage agreement files.
- Handle correspondence, telephone contacts, and incoming mail, including confidential materials, in a professional and expedient manner. Administer e-mails, send and forward to appropriate people.
- Type and/or compose letters, meeting agendas, meeting minutes, purchase orders, contracts, memos, variances, narratives, vendor contracts, brokerage agreements, Letters of Intent and construction contracts as directed.
- Photocopying, faxing, scanning and file administration as needed.
- Assist the Property Management department with investor reports, projects and presentation. Organize, research, and gather required data, as necessary. Provide assistance in preparing materials, compiling statistical information, and other special projects as required.
- Must be proficient in Outlook, MS Word and Excel, and other similar computer programs. Use of various software packages and visual aids to produce accurate documents, presentation materials, charts and graphics (type, proof, organize, design, create fonts, layout, etc.) within established deadlines.
- Assemble and distribute all lease documents received. Scan all lease documents into our network and prepare maintain the tenant lease file. Accuracy and timeliness is extremely important to this process.

Associate Training Manager

Join our team and build a career with one of the nation’s leading multi-family developers, constructors, and managers of apartment homes. We are looking to add an experienced Associate Training Manager!
Responsible for the development and delivery of training programs to associates from all divisions – Management, Development and Construction. They will be a goodwill ambassador for Altman and foster teamwork in their approach to every position they hold while providing training. They will ensure alignment with strategic business objectives and ensure a high quality of delivery to all associates of the company.
Essential Duties and Responsibilities:
Training:
- Identify and assess future and current training needs through job analysis, career paths, annual performance appraisals and collaborate with management from all divisions to identify company training needs.
- Deliver engaging content which aligns with the operational needs of the business and provides content that enhances performance.
- Oversee and direct seminars, workshops, individual training sessions, and lectures.
- Develop and implement an effective training curriculum for each division.
- Prepare hard copy training materials such as module summaries, videos, and presentations.
- Facilitate Train the Trainer sessions for those areas of the business where someone other than the Training Manager will be delivering the training material.
- Develop and conduct onboarding program for new associates
- Draw an overall or individualized training and development plan that addresses needs and expectations.
- Monitor and evaluate training program’s effectiveness, success, and ROI periodically and report on them.
- Manage online Policy and Procedures Manual and provide on boarding / signature start support.
- Assign and track Gracehill online training compliance and communicate to portfolio.
- Order and monitor 3rd party shopping reports.
- Prepare and assist with creating managers meetings, annual Altman awards and annual AMC conference.
- Monitor, and analyze key metrics for the day-to-day performance of the operations to ensure efficient and timely completion of tasks.
- Familiarity with traditional and modern training methods (mentoring, coaching, on-the-job or in classroom training, e-learning, workshops, simulations etc.)
- Other duties assigned.
Minimum Qualifications
Education:
Bachelor’s degree in Education, Business, Communication, Organizational Development, or comparable work experience.
Experience:
- Must have a minimum of three to five years training/development experience.
- Multi-family property management experience strongly preferred.
Skills:
- Outstanding communication, facilitation, and presentation skills
- Strong computer/technology skills including Microsoft Office and Web Conferencing
- Ability to plan, multi-task and manage time effectively
- Ability to learn and institute Altman and industry standards

The Property Director requirements include – but are not limited to:
Effectively manage and coordinate people, activates and available resources to accomplish property objectives as established by the annual budget, Regional Manager, and Property Owner. These objectives will include maximizing occupancy levels and property values. The Property Director is directly responsible for maintaining daily, weekly, and monthly reports, including accurate reporting of rents and deposits received. Submission of reports should be in a timely manner and in accordance with the AMC reporting schedule.
The following additional skills and responsibilities are required:
- Prepare all lease paperwork in an accurate and timely manner. Be able to explain all lease documents to new associates and prospective and existing residents. Ensure all documents are properly completed prior to resident move-in.
- Maintain company customer service standards. Respond to resident’s requests and work with residents to minimize and resolve resident problems and complaints. Follow through to ensure issues are resolved.
- Maintain thorough product knowledge of own property and that of major competition through site visits, tours, and telephone surveys.
- Computer Proficiency – Microsoft Office Programs and Management Software (YARDI preferred).
- Excellent management, administrative, communication, and time management skills
- Excellent sales skills.
- Maintain professional image at all times.
- Ability to function as a team player.
- Familiarity with basic office procedures.
- Participate in company training classes, meetings, and activities as required.
- Outreach marketing is required.
Minimum two years’ experience in apartment property management with lease-up experience required.
